Privacy Policy
1. Who We Are
Venue Link Systems is a trade name of TMHPD LLC, a Texas limited liability company. In this policy, "we", "us" and "our" mean TMHPD LLC doing business as Venue Link Systems.
TMHPD LLC
3554 Joshua Grove Ln
Missouri City, Texas 77459
support@venuelinksystems.com
This policy covers venuelinksystems.com and the services we provide to wedding venues.
It does not cover our clients' own websites. When you visit a venue's website that we built and operate, that venue decides what is collected and why. The venue is responsible for its own privacy policy, and we handle that data only on the venue's instructions. See section 8.
2. What We Collect
Information you give us
- Your name, email address, phone number, business name and website
- What you tell us about your venue when you enquire, book a walkthrough or fill in an intake form
- Billing and business details needed to invoice you
- Anything else you choose to send us in an email or a message
Information collected automatically when you visit the site
- IP address, browser type and version, device type, operating system
- Pages viewed, time on page, the link or search that brought you here
- Approximate location derived from your IP address, at city level
- How you move around a page: scrolling, clicks, and mouse movement. See section 5
Information we do not collect
- We do not collect card numbers or bank account numbers. Payments run through a third party processor, which handles that data directly. We see the last four digits and the status of a payment, nothing more.
- We do not knowingly collect information from anyone under 18.
- We do not buy contact lists.
3. How We Use It
- To answer your enquiry and schedule a walkthrough
- To quote, invoice and provide the services you have engaged us for
- To send you service messages about your account, your build and your billing
- To send you marketing email about our services, which you can stop at any time
- To improve the website and understand which pages are useful
- To meet our legal and tax obligations, and to enforce our agreements
We do not use the personal data of our clients' couples or vendors for our own purposes. That data belongs to the venue. See section 8.
4. Text Messages
If you give us your mobile number and tick the text message box, we may text you about your enquiry, your walkthrough and your account with us.
We text venue owners and their staff. We do not text couples. Couples are our clients' customers, and any message they receive comes from the venue, under the venue's own terms.
Mobile information and text messaging consent are not shared with or sold to any third party for marketing or promotional purposes. Consent to receive text messages from us is never sold, rented or shared.
Message and data rates may apply. Reply STOP to any message to opt out. Reply HELP for help. Full terms are on our SMS Terms page.
5. Cookies, Analytics And How We Watch Page Use
We use cookies and similar technologies to keep the site working and to understand how it is used. You can set your browser to refuse cookies. Parts of the site may not work properly if you do.
Analytics. We use Google Analytics to measure traffic. Google sets its own cookies and receives your IP address. You can opt out with Google's browser add on at tools.google.com/dlpage/gaoptout.
Session recording and heatmaps. We use Microsoft Clarity to understand how people use this site. Clarity records how you interact with a page, including mouse movement, clicks and scrolling, and combines that into heatmaps and session replays. Microsoft may use that data in line with its own privacy statement.
We configure Clarity to mask the contents of form fields, so what you type into a form is not recorded in a replay.
You can opt out of Clarity by enabling Global Privacy Control in your browser, or by using a tracker blocking extension.
Advertising. Where we use Google or Meta advertising features, those companies may use cookies and identifiers, including their own, to show you our ads on other sites. You can control this through Google Ads Settings, your mobile device's ad settings, and the Network Advertising Initiative opt out.
Third parties on this site may collect information about your online activities over time and across different websites. We do not control what they collect.
Do Not Track. Browsers can send a Do Not Track signal. There is no common industry standard for how to respond to it, and we do not currently respond to Do Not Track signals. We do honour opt out preference signals such as Global Privacy Control where we are required to.
6. Who We Share It With
We do not sell your personal data. We do not rent it. We do not trade it.
We do not share your personal data with third parties for their own direct marketing purposes. California residents may request information about such sharing under Cal. Civ. Code 1798.83, and our answer will be that we do not do it.
We share it with companies that run parts of our business, only so far as they need it to do that job:
| Category | What reaches them |
|---|---|
| CRM and messaging platform | Name, email, phone, message history |
| Automation platform | Whatever a given automation carries |
| Website hosting | Technical and usage data |
| Payments | Name, email, billing details. Card data goes direct to the processor |
| Analytics and page use | Technical and usage data |
| Advertising | Technical and usage data |
| Development and support tooling | Data accessed during development and support work |
| Professional advisers | Only what is necessary |
A list naming every company and what reaches it is available on request. Email support@venuelinksystems.com.
We will also disclose personal data if the law requires it, if we are responding to lawful process, or if it is necessary to protect our rights, our property or someone's safety. If our business is sold or merged, personal data may transfer as part of that transaction.
7. Your Choices, And How To Reach Us
To see, correct or delete what we hold about you, email support@venuelinksystems.com and tell us what you are asking for.
We will acknowledge your request, and we will act on it as promptly as we reasonably can. We may need to verify who you are first. Some information we are required to keep, for example records needed for tax, accounting or to show that you asked us to stop contacting you.
To stop marketing email, use the unsubscribe link in any marketing email, or email us. We act within 10 business days. We will still send you messages about your account and your billing.
To stop text messages, reply STOP to any message.
Do not call. We keep an internal do not call and do not text list. If you ask us not to contact you, we record it and we honour it for at least five years. Our written policy is available on request at support@venuelinksystems.com.
8. Data Belonging To Our Clients
Most of the personal data our systems hold is not ours. It belongs to the wedding venues we work for, and it is about their couples, their enquiries and their vendors.
For that data:
- The venue decides what is collected, why, and how long it is kept. The venue is the controller.
- We act only on the venue's instructions, under a written agreement. We are a processor.
- The venue's own privacy policy governs it, not this one.
- We do not sell it. We do not market to couples. We do not combine it across clients, and we do not use it to train anything.
If you are a couple or a vendor and you want to know what a venue holds about you, contact that venue. If you cannot reach them and you believe we hold the data, email support@venuelinksystems.com and we will pass your request to them.
9. How We Protect It
We use access controls, encrypted connections and the security features of the platforms we build on. No system is completely secure and we cannot guarantee absolute security.
If a security breach affects your personal data, we will notify you as required by the breach notification law of the state you live in. For Texas residents that means without unreasonable delay and no later than 60 days after we determine a breach occurred.
Where the affected data belongs to one of our clients rather than to us, we notify that client promptly so they can meet their own notification obligations, and we support them in doing so.
10. How Long We Keep It
We keep personal data for as long as we need it for the purposes in section 3, and then for as long as we are required to keep it for tax, accounting and legal reasons.
Records of a request not to be contacted are kept for at least five years.
11. Accessibility
We want this site to be usable by as many people as possible. Our full statement, and how to reach us if something does not work for you, is on our Accessibility page.
12. Changes To This Policy
We may update this policy. When we do, we change the version number and the effective date at the top of the page.
If we make a material change, we will post a notice on this page for at least 30 days before it takes effect, and we will email anyone whose information we hold and whose email address we have.
